For IndiaFilings, a new company registration is a narrow window. The founder has just incorporated, GST and ROC work are about to start, and the first conversation decides whether IndiaFilings is the team they call when that paperwork shows up.

Those founders are on the MCA portal the day the company is registered. Reaching them by hand means a telecalling team, a script, language switching, and a lot of calls that never get to the one thing that matters: a founder qualified for time with a compliance expert.

IndiaFilings did not need the first call to close a GST registration. It needed every new founder to hear the welcome, understand the ₹5,000 service credit, and leave the call as a qualified lead.

Why welcome calls break under volume

A founder who just incorporated is busy, skeptical, and often mid-commute. They will give a short call one chance. If the caller sounds scripted, pushes past a no, or tries to explain DSC, DIN, and ROC on the spot, the call dies.

Volume makes that worse. New registrations do not arrive in a neat queue. Coverage in Indian English and Hinglish has to be consistent, Tamil has to be handed to a person, and every call still has to end in a clear next step: a booked expert callback, a WhatsApp or email with the details, or a polite “not now” that is logged for later.

How IndiaFilings built an AI-first welcome with Vaani

IndiaFilings deployed a Vaani voice agent to call founders and directors of newly incorporated businesses: Private Limited, OPC, LLP, Section-8, proprietorship, and MSMEs.

The agent confirms it is speaking with the founder, congratulates them, and asks if it is a good time. It introduces IndiaFilings as one place for GST registration, ROC compliance, trademark protection, and income-tax filings. It then offers the Startup Grant: ₹5,000 of service credit, free, usable on professional services such as GST registration.

It asks one qualifying question — whether GST is already done or still pending — and uses the answer only to make the next step specific. The ask is always the same: a short callback from a compliance expert who will look at what the company needs and show how to use the credit.

That included:

  • Outbound calls to founders from public new-company registrations
  • A fixed welcome in Indian English, with a natural switch to spoken Hindi when the founder switches
  • A single hook, ₹5,000 in Startup Grant credit, used only to earn the callback
  • One qualifying question on GST status before the ask
  • Live branching: book a time, send details on WhatsApp or email, or log a later follow-up
  • Redirect of technical questions (DSC, DIN, and the rest) to the expert, instead of answering them on the call
  • A transfer line for Tamil, and a fixed close that ends the call

The point was to remove the gap between “your company just got registered” and “a compliance expert has a qualified founder to call.”

Why voice AI worked for new-founder outreach

The first call is a welcome with a deadline. The agent stays short, asks one thing at a time, and always hands the turn back. If the founder asks what the catch is, says they already have a CA, or says they do not need anything yet, it answers in a line and returns to a callback or a later follow-up. It does not re-pitch after a request for WhatsApp or email.
